SaaS Pricing Audit: 7 Tools That Should Cost 90% Less
I want to talk about something that most SaaS companies don't want you to think about.
The software you use to run your business — the tools for customer support, email, analytics, churn recovery — most of it costs 5 to 10 times what it should. Not a little overpriced. Structurally, systematically, deliberately overpriced.
This isn't a rant about greed (well, not entirely). It's a structural problem built into how most B2B software gets built and funded. And once you see it, you can't unsee it.

Why B2B SaaS Costs So Much
Before we get to the list, here's the underlying explanation — because understanding why these tools cost so much helps you spot the alternatives.
The VC growth trap: Most B2B SaaS companies raise venture capital. VC investors need 10x returns. That means the company needs to grow fast — which means charging as much as the market will bear, not as much as the product actually costs to build and run.
Enterprise packaging: The profitable customers for most SaaS companies are enterprises. So products get built for enterprise needs, priced at enterprise levels, and then sold down-market to small businesses who only need 20% of the features but pay 80% of the price.
"Land and expand" pricing: Many SaaS tools charge per seat, per contact, or per transaction — specifically to make costs grow as your business grows. The software isn't getting more expensive to run. You're just getting charged more because you can afford it.
Bundled bloat: Tools add features not because users need them, but because more features justify higher prices and make switching harder. You're paying for a product roadmap, not the features you actually use.
The result: you're running your business on a stack of tools, each charging you hundreds of dollars per month, many of which could be replaced by something better and cheaper.

1. Churnkey — $250/month for cancel flows
What you're paying for: A tool that shows a customized screen when customers try to cancel, potentially offering a discount or pause option. Plus automated payment failure recovery.
Why it's overpriced: The underlying technology is a redirect and some conditional logic. It's valuable — good cancel flows can save meaningful revenue — but the infrastructure cost to run this is not $250/month per customer. That price reflects the VC math and "enterprise retention software" positioning, not the actual cost of the product.

2. Intercom — $74–$500+/month for chat
What you're paying for: A customer messaging platform that handles live chat, in-app messages, and support tickets.
Why it's overpriced: Intercom's pricing scales by contacts and seats in ways that feel designed to extract maximum value as you grow. A business with 5,000 contacts and 2 support agents can easily hit $300+/month for what is, fundamentally, chat software.
What to use instead: Crisp has a generous free tier for small teams. Tawk.to is completely free (they monetize through paid agent services). For teams that need more, Chatwoot is open-source and self-hostable.
3. Baremetrics — $108+/month for revenue dashboards
What you're paying for: Pretty charts showing your MRR, churn rate, LTV, and other subscription metrics — pulled from Stripe.
Why it's overpriced: Stripe already has most of these metrics built in. Baremetrics is essentially a better UI on top of data you already have. For $108/month, you're paying for chart design.
What to use instead: Stripe's built-in reports cover the basics for free. ChartMogul has a free tier for businesses under a certain MRR threshold. For full flexibility, Metabase (open-source, self-hosted) connects to your data and lets you build exactly the dashboards you want — free.
4. Klaviyo — $150+/month for email marketing
What you're paying for: Email marketing automation with segmentation, flows, and analytics. Originally built for e-commerce, now used broadly.
Why it's overpriced: The per-contact pricing model means your bill grows automatically as your list grows. You're penalized for your own success. At 10,000 contacts, you're paying $150+/month. At 50,000, the numbers get painful.
What to use instead: Brevo (formerly Sendinblue) charges per email sent rather than per contact stored — much more predictable. MailerLite has a generous free tier and competitive paid plans. For developers, Amazon SES costs fractions of a cent per email.
5. Zendesk — $55–$115/agent/month for support tickets
What you're paying for: A help desk platform that manages customer support tickets, with workflows, reporting, and integrations.
Why it's overpriced: Zendesk went through a long period of enterprise-ification — adding features, raising prices, and targeting larger customers. The result is a product with enormous complexity and a price tag that makes small teams wince. At $115/agent/month, a 3-person support team costs $345/month.
What to use instead: Freshdesk has a free tier for small teams. Help Scout is simpler and more affordable. Linear (for dev-facing issues) or Notion (for simple internal tracking) can handle light support loads without any ticket software at all.
6. Mixpanel — $28–$300+/month for product analytics
What you're paying for: Event-based analytics that tracks what users do inside your product — button clicks, feature usage, conversion funnels.
Why it's overpriced: The free tier is limited enough that most growing products quickly hit the wall. Then pricing jumps significantly, and the "data history" restrictions on lower tiers mean you lose access to your own historical data unless you pay more.
What to use instead: PostHog is open-source and has a generous free cloud tier (or you can self-host). Plausible works well for simpler web analytics. Umami is self-hosted and fully free.
7. ProfitWell / Paddle Retain — $hundreds/month for churn recovery
What you're paying for: The churn recovery and retention features that used to be called ProfitWell and are now part of the Paddle Retain suite. Automated payment failure handling, cancellation flows, revenue recovery.
Why it's overpriced: When ProfitWell was independent, much of it was free — a good-faith attempt to offer analytics to the market. Post-acquisition, it became enterprise software with enterprise pricing, largely inaccessible to the small businesses that needed it most.
What to use instead: ChurnRecovery again. Free, open-source, built specifically for subscription businesses that don't have a growth team or a $500/month tool budget.

This is the SaaS pricing treadmill. Your tools are going to keep getting more expensive — not because they're getting better, but because their investors need the numbers to go up.
The Alternative: Build Your Stack Differently

Ask: Is there an open-source version of this? Is there a self-hosted option? Is there a competitor that charges for actual usage rather than company size?
Often the answer is yes — and the alternative is 80–90% as good for 10–20% of the price.
